Start with the principle
What you need to know
A missing reference occurs when a source is named or numbered in the text but its full publication details do not appear in the reference list.
A practical method
Check it step by step
- 01
Identify every in-text citation
Scan author–date citations such as (Patel, 2025) or numeric citations such as [12]. Include citations in tables, captions and footnotes when your style treats them as part of the text.
- 02
Create a matching key
For author–date styles, compare the first author and year. For numeric styles, compare each citation number with the same numbered reference entry.
- 03
Investigate unmatched citations
Check spelling, organisation names, year suffixes such as 2025a and references accidentally placed under another heading.
- 04
Add or remove carefully
Add the complete source only when you genuinely used it. Remove a citation only when the related claim no longer relies on that source.
Apply the guidance
Examples
Digital research habits vary by discipline (Rahman, 2023).
No Rahman (2023) entry appears in the reference list.
Add the verified Rahman source details—or correct the citation if the author or year is wrong.
Before submission
Final checklist
- Author spelling matches
- Year and year suffix match
- Every numeric citation points to an existing number
- The source was actually consulted
- The completed entry follows the required style
Course, university and publisher requirements vary. Confirm final punctuation, capitalisation and presentation against the guide you have been instructed to use.
